MGCC Procedures

Member entry to Northminster Presbyterian Church during non-club functions

  1. The church contact person will have a current list of officers and committee chairs (authorized members) who will be allowed entry to the church during the church’s normal business hours for the purpose of obtaining and returning MGCC property from our locked closet. Any member not on this list will not be given a key nor allowed entry into the equipment closet.
  2. The President will have the discretion to add additional members if needed. It is the responsibility of the President to make sure that the church has an updated list of authorized members who may have access to the church.
  3. Authorized members will present a picture I.D. to the church representative and sign in with her before obtaining the key for the equipment closet. If the church representative knows the member, this is not necessary but is at the discretion of the church representative.
  4. It is the responsibility of each authorized member to know what the normal church business hours are, and to call ahead and let the church know he/she is coming.
  5. In the equipment closet is a sign out sheet for equipment. It is the responsibility of each authorized club member to complete this information prior to removal and upon return of any club equipment. (See the use of MGCC equipment by club members below.) Church personnel are not responsible in any way for MGCC equipment, and no club member should ever leave equipment with church personnel.

The use of MGCC Equipment by club members

  1. The use of club equipment by MGCC members is limited for specific club events or club sponsored activities.
  2. Because of the expense of the projector, club members should read and understand the operating instructions on the club website before borrowing the equipment.
  3. When a member signs out equipment on the equipment sign out sheet in the equipment closet, that member acknowledges that he/she has read and understands the instructions and understands that damage may occur to the equipment if the instructions are not followed. (The equipment sign out sheet will reflect this change)

Procedures for Processing New Member Applications

Prospective members may submit applications and dues via mail or hand carry the same to any regular membership meeting.

Prospective members attending meetings will be directed to the current Membership Chairperson, or in that person’s absence, to the President, 1st Vice President, or any available officer in that order (Alternate).

The Membership Chairperson (or Alternate) will receive the new member’s application with payment, note that payment on the application form, and validate that the form is complete. All payments will be passed to the Treasurer prior to departing the meeting. If the Treasurer is not available, payments may be passed to the President, 1st VP, or any available officer in that order.

If an Alternate receives a membership application, that person will ensure the application is delivered to the Membership Chairperson at the first available opportunity.

The Membership Chairperson updates the Member Roster and provides a copy to all the members after verifying that the Treasurer has received the appropriate dues, provides a copy of the membership application to the 1st Vice President so that they may note the new member’s interest for program consideration.

The Newsletter Editor updates the newsletter distribution list.

The Treasurer adds the member to a tracking list.
